Division Wizard Step 7 - Fields

Play Area is the generic term used for where a game is played. You actually get to specify on the division screen the term to use on reports for play areas. Choose a sport or fill in the correct term under "Label for Play Surface". Typical terms include field, court, rink, etc.
The play areas button on the division screen allows you to define the details about your field availability and exceptions for your division. This feature is organized so each field is defined in a separate window and you can use the PgUp and PgDn keys to move between the fields. Notice the top of the window displays the field number as you define each field.
The fields on this screen are described below:
- Name:
Up to 20 characters for the name of the playing area/field/facility. You can see the field number indicated on the top of the Field Information screen. Up to 64 fields may be specified for a division. - Times:
Playing area availability is specified in 15 minute increments for each day of the week. A non-blank character means the field is available for that particular 15 minute interval.
To specify a field that is available from Noon to 2 pm and then again from 5 pm to 7 pm would look like this:PM XXXXXXXX XXXXXXXX

A short cut entry feature allow you to mark an "X" at the start time for a game. When you move to another line on the screen, Tournament Time will automatically fill in the Xs for a complete game based on how long you specified for a game. Also, the first X in a series of Xs is capitalized to indicate a normal game start time.
- Buttons:
Notice the four buttons to right of the times entry fields (Done, Clone, Prev, Next). These buttons were created to make control of this screen available using your mouse. The bottom of the screen documents keys that perform the same functions. You may actually click with your mouse on this message line to invoke the function. The function of these buttons is described below.Done - Return to the division screen; all field information is complete. You may also exit this screen using the close button in the top left corner of the window.
Clone- Make an exact copy of all the times and exceptions for the current field and create a new field screen. The first undefined field screen will be used. All you have to do now is change the Name to the new field name and make changes for the new field. This makes field entry much easier since most often all fields are available at the same times.

- Exceptions:
The exception dates and times that pertain to this particular field. (Exceptions specified on the Exception Date Information screen pertain to all fields).You may enter up to five dates (and times) that this particular field is unavailable for this tournament. A blank beginning time is treated as 12:00 AM and a blank ending time is considered to be Midnight (a date with no beginning or ending time excludes the field for that entire date).
For example, if the field is usually available every Saturday morning from 9 to 1, use the X's to mark the time. Then, if the second Saturday of the tournament cannot use this field until 11 am, place that date in the exception list and enter From: 09:00a and To: 11:00a. This will restrict the field from scheduling for the first two hours but only on that particular day.
Note: There is no need to enter exceptions for holidays if that field couldn't get scheduled anyway. For example, if Labor Day is on a Monday when no games can be played and this field is available only on Wednesdays, Thursdays and Saturdays, there is no need to enter Labor Day as an exception since Mondays can't be scheduled on this field anyway.
