Editing Text

The report viewer allows you to call a powerful full screen editor to make any changes or add comments to any of your reports. This help topic briefly describes how to perform many text editing operations.

You can even use this feature to combine multiple reports into a single report. (See Cutting, Copying and Pasting below).

Editing a Report


Generate any report you wish to edit. When the report is displayed in the viewer, Select "Modify Report" from the Edit menu to edit the report. When you have changed the report and saved it, return to the previewer, and select "Refresh" from the View menu to see your changes.

Editing a Previously Saved Report


Use the Utility menu choice to view file. View file reads the file into the file viewer. Again, from the viewer, select "Modify Report" to call the editor (Windows' Notepad). In addition to using the mouse to move around in the report, you can use the keyboard to quickly and easily change position:

Cursor Movement Keys

Right Arrow Moves one character to the right.
Left Arrow Moves one character to the left.
Up Arrow Moves up one line.
Down Arrow Moves down one line.
PgUp Moves up one page.
PgDn Moves down one window of text.
Home Moves to beginning of current line.
End Moves to end of current line.
Ctrl+Right Arrow Moves one word to the right.
Ctrl+Left Arrow Moves one word to the left.
Ctrl+Home Moves to beginning of text.
Ctrl+End Moves to end of text.

Entering Text

    Before you type text, position the cursor where you want the text to appear. Use the Ins key as normal to change typing mode from insert to overwrite. You may also control if word wrap is turned on or not. See below.

Keys for Selecting Text
Shift+Arrow (Left/Right) Selects one character at a time.
Shift+Arrow (Up/Down) Selects one line at a time.
Shift+Ctrl+Arrow (Left/Right) Selects from cursor to beginning/end of word.
Shift+Ctrl+End Selects from cursor to end of text.
Shift+Ctrl+Home Selects from cursor to beginning of text.
Ctrl+A Selects all text.
To deselect text, press any cursor movement key.

Mouse Shortcuts for Selecting Text
Selecting text with mouse Position pointer just before the character where you want selection to begin, drag to the right by holding down the mouse button and moving the mouse, then release the mouse button. Drag down to highlight entire lines of text.
Select a word Position pointer on the word and double-click.
Select a line Position pointer on a line and triple-click.
Select text word-by-word Double-click and drag.
Select text line-by-line Triple-click and drag.
Select segment of text Position cursor then Shift+click at another location to select from the original cursor location to the Shift+click location.
Select all text Press Ctrl+A.

Deleting Text
Backspace If nothing is selected, deletes character to the left of the cursor. If text is selected, deletes selection.
Ctrl+Backspace Deletes word in which cursor is positioned. If cursor is positioned on blank space following word, space and previous word are deleted.
Delete If nothing is selected, deletes character that cursor is on. If text is selected, deletes selection.

Inserting Text
Pressing the Insert key toggles between insert and overwrite mode. The cursor looks like a flashing underscore when you are in insert mode. Typing a character in insert mode inserts it at the cursor location to the right of existing text.         

    In overwrite mode, the cursor is a solid flashing box. Each character you type replaces the character that the cursor is on. In general, when text is selected, typing any characters (except editor control characters) replaces the selected text with the typed text.

Inserting Special Characters
To insert a control character, press the ` key (left single quote) followed by the letter that would normally follow Ctrl. For example, Ctrl+Q is inserted into a file by typing `Q. To enter ` itself, you must type ` twice.         

    High-bit characters used to create boxes and other graphics may be entered directly in editor files by holding down the Alt key and typing the (decimal) key code of the desired character.

You can also use the HTML & notation for entering special characters. These codes are listed in the WinPrint.txt help file.

Cutting, Copying, Pasting
Text can be reorganized within windows and moved among windows using Cut, Copy and Paste from the Edit menu. Press Alt-E to access the edit menu or ...
Func Key Description
Cut ^X Removes selected text for placement in a different location.
Copy ^C Duplicates selected text for use in another location.
Paste ^V Places cut or copied text into a file at the cursor location.
To combine multiple reports into a single report, generate the first report you want to use, call the Edit function and press Ctrl-A to block the entire report followed by Ctrl-C to copy the report to the clip board.         

                Now, generate the next report and again press "E" to edit the 2nd report. Position the cursor to where you want the first report information to fall and press Ctrl-V to paste the first report into the second. Now you can make any adjustements you need to remove duplicate headers, etc.

Undo and Redo
Undo and Redo are available on the Edit menu popup. Press Alt-E to access the edit menu or ...
Func Key Description
Undo ^Z Reverses most recent text editing action. You can continue to Undo (in reverse order) all text editing actions that you've made since you opened the file or saved it during the editing session.
Redo ^R Reverses most recently undone command.

Find and Replace
When you want to find and/or replace a word or phrase that appears throughout a report, choose the appropriate find and replace command from the Edit menu popup. Press Alt-E to access the edit menu or...
Func Key Description
Find ^F When you want to find a word or phrase that appears in a report. choose the appropriate find and replace command from the Edit menu popup.
Again ^G To search for the next incidence of a search string.
Replace ^E Replace current string and search for the next incidence.

Setting Editor Preferences
Preferences... press Alt+E to invoke the Edit menu popup. Now press "N" for preferences. This allows you to change certain settings that are in effect during editing sessions. You can make the preferences apply to only the current file you are editing or to all text files in the future.

Important Note
Defining special keyboard macros to help in the editing process turns the editor into a powerful tool to customize your reports. However, if you want to use the special keys documented here for editing, you should refrain from redefining them as keyboard macros. If you accidentally define one of these editing keys, simply delete the macro and the original editing functionality will be restored.
