Tournament Time for Windows Help File

>> Creating A Schedule

The first step to creating a schedule, is to tell Tournament Time all about the division for which you are creating the schedule. To do this, choose "Division" from the main menu, then "".

Division Edit:

The Division Tournament Wizard will walk you through the process of creating your Tournament Schedule.

In the first step, you specify basic Division settings, such as the name of your division and what to call play areas and points (goals, runs, etc) in the games... it's as simple as filling in the blanks!

You also have to give the division a short (3 character) abbreviation which will be used on reports when there is not much space. (This will default to a number, but can be changed by you to anything that hasn't yet been used.)

Now, click "Next" ...

(you can also jump to a step by selecting it from the Select Step combobox in the top right of the Division Tournament Wizard window.)

Tournament Configuration:

On this step, you will select the basic layout (or configuration) of your tournament. This determines whether the tournament will be single, or double elimination; whether there will be pool play; whether a consolation game will determine the third and fourth place teams, and more.

Now, click "Next" ...

Teams:

Define your teams on this step. Actually, if you don't yet know the teams' names, Tournament Time will create them for you. Just fill-in the "Number of Teams" blank on the main division edit screen.

Now, click "Next" ...

Pools:

If you selected a Pool Play style tournament configuration, then this step (Pools) and the next step (Champs) will be enabled.

Use this step to define your pools. This means assigning each team in the tournament to a specific pool.

Once all the pools are created and have the proper number of teams set to advance, click "Next" for the Championship Round Seeding...

Champions:

This step enables you to control the seeding for the championship round. This seeding determines where the teams will be placed in the championship bracket.

Click "Next" again...

Officials:

Fill in all your officials' names in this list. Many leagues assign "Crews" instead of individual people to each game...Tournament Time can do either! Just give a name to each Crew (perhaps the name of the team they're affiliated with) and put that name in this list.

PLEASE NOTE:    Even if you name the crew after the team they're affiliated with, you must still fill in the Affiliation column with that team's name!

On this step, you can also select whether the officials scheduled for a game must be related to the teams playing the game in some way, and what qualifications are needed for the officials.

Once more, click "Next"...

Play Areas:

Here is where you give Tournament Time the information about when the fields are available. You can have as many different fields as you want (up to a couple hundred). In this editor, you "X" out the times each field is available, and these times are repeated each week. For any special days where this pattern doesn't apply, fill in an exception date.

For global exceptions, click "Next"...

Exceptions:

Any holidays that NO fields/teams are available can be entered by date, and starting/ending time in this window. A blank Start Time means Midnight that morning, and a blank End Time means Midnight that night.

Click "Next" one last time...

Generate:

Once you have all the previous information filled in to describe your division, you are nearly ready to generate the schedule. This last step gives you detailed control over how the games will be placed in the schedule (such as how many game a team can play in a day, and how much rest a team needs before it can play again.)

You can also associate this division tournament with a Master Schedule if you have multiple tournaments sharing fields.

If you are generating pool play games, you can also check "Edit Pairings" so that you can see and change the pool pairings before they are assigned fields, dates & times.

You can specify the name for the schedule file that will be generated, too, in case you want to try out different settings without loosing your earlier tries.

Finally, once all these settings are correct, click on "Generate" and your schedule will be generated.

( If you're NOT done filling in the information, Click on "Finish" to save the division without generating... you can edit it later to continue creating this tournament. )
