League Administration Software Help File

Season Settings

This screen allows you to customize LAS for things that may be different from one season to the next. You can define the birth date cutoff for determining the Official Age, and establish how many years to retain personnel before automatically removing them permenantly from the data tables.

You Can Change:

  • Sport
    • Selected Once in Single Sport Edition during first startup of LAS.
    • In Multi-Sport Editions you can change the sport assigned to a season whenever you like.
  • Season Type -- Youth or Adult. This affects if the member associated with a player are Father and Mother, or Player and Spouse
  • Year
    • This is the year that will be used to calculate ages.
    • This is usefull when registering for next year's season!
  • Player Age Limits (type in values, 0..99) -- When entering players, you will be notified if their age doesn't fall within this range.
  • Birthday Cutoff -- Use this to change the "turn of the year" from January 1 to whatever you need. (used in calculating ages). Unless treated "specially", this date is the day in the current league-year on which a player's age is calculated. That is, if player "A" was born on the cut-off date, and player "B" was born in the same year but on the day after the cut-off date, player "A"'s age (for the season) is calculated as one year older than player "B". Most chartering organizations have certain cut-off dates that must be used by their chartered leagues.
  • Birthday Cutoff Year -- You can only change the year when the cutoff date is 12/31. Many Softball leagues introduced a new way of calculating ages around the year 2005. Basically, 12/31 can be treated specially as the last day of the year before the current season-year. This causes everyone's age to be calculated as 1 year older than they would be if 12/31 was NOT treated specially. (That is, if it is treated as the last day of the season-year.) (This parameter used to be called "Treat 12/31 Specially".)
So, for Little League Girls' Softball, and most other girls' softball leagues, select the previous year.
For more detail about Little League's adjustment, see their Oct 2005 newsletter here: http://www.littleleague.org/media/age_change_Oct05.asp
(Note: The year selector box is only enabled if you have already selected Dec 31 as the cutoff date.)
  • Default Sex -- If you are managing a girls' league, this enables you to never forget to select "Female" for the gender of the players, since it can be forced to default to "Female".
  • Require Team Number (click to check/uncheck) -- Check this box if you want to require that a team number is entered for each team. LAS will not allow you to add a team unless you specify a team number for it. (note: you don't need to check this box to use team numbers, only so that LAS alerts you when you don't have them)
  • Registration Items
    • Fields To Track (click "Select Player Fields" or "Select Member Fields" for sub-windows) -- Okay, so you don't care about the player's school...or maybe you do. This allows you to turn on and off each individual field! For more about this, see "Registration Customization".
    • Registration Fee Discounts - These discounts only apply when the "Amt Due" for each Player is turned on (since these discounts use the "new" fee structure).
      • 2nd Child - When the second child is registered to a member family
      • 3rd+ Child
      • Family Max
    • Fundraising Fee Discounts -- These discounts work in the same way as the "Registration Fee Discounts" mentioned above.
    • Years to Retain Unregistered (type in value) -- It's useful to have unregistered players from a couple years ago, because they might still want to register again. However, after a number of years, you can be pretty sure they're not coming back. This controls how long that will be!
  • Sport Related Items (on "Labels, Standings, Etc" page)
    • Official's Title (type in value) -- Name an official whatever you need! Umpire, Referee, etc.
    • Play Surface (type in value) -- Name your venue; is it a Field, a Court, a Net, a Diamond, or what?
    • Allstar/Select (type in value) -- This name will be used to name your special divisions' category. It's usually "Allstar" or "Select".
    • Division Label (type in value) -- Little League calls it a "Level of Play" rather than a "Division". This value isn't used very often...mainly on export.
    • Length of Game (type in value) -- How long does a game last, in general? You can also set values in each division which over-ride this value!
    • Points Per Win (Soccer/ Lacrosse/ Hockey; type in value) -- Certain sports count Win's differently for calculating standings. You can set this value here.
    • Reg # Prefix (type in value) -- Mainly for USYSA soccer: This value will be filled into a new player's Registration Number. If you don't want this feature, make this field blank.
    • Auto-Fill Width (type in value) -- Mainly for USYSA soccer: This is the number of characters to add as a suffix. This suffix automatically starts as the highest Registration Number used + 1. The suffix is also left-padded with zeros to this Auto-Fill Width. Set the width to 0 for no automatic suffixes.
  • Evaluation Criteria (on "Labels, Standings, Etc" page)
    • Labels -- LAS can help you keep track of your players' evaluations on up to six different criteria. You can name these criteria whatever you want by filling in the Labels.
    • Weights -- For each Evaluation Criteria Label that you fill in, you can specify a weight. This weight value determines how many times the respective Criteria is factored into the Overall Evaluation Average for a player.
  • Environmental Options (on "Labels, Standings, Etc" page)
    • Load Toolbar -- Perhaps you prefer to have move space on the screen so you always want the toolbar closed when LAS starts. Just un-check this checkbox! If you want to load the toolbar once in a while, just select it from the "File" menu.
    • Load League Explorer -- The new League Explorer window can make using LAS much more productive. But if you prefer LAS to start without loading this window, just un-check this box.
    • Load Menu Explorer -- If you prefer the static, "vertical" menus that were integral to LAS for DOS, just check this box to load a similar menuing interface when LAS first starts. Not having the menu disappear each time you make a choice can make using LAS for certain tasks much more pleasant.

"I used to dread little league season, with all the hours of paperwork. Trying to schedule all the teams, registering and keeping track of all the players was an absolute nightmare. Your software was an answer to my prayers!
