Export to MSYSA
Michigan State Youth Soccer Association will accept registrations uploaded in a properly formatted Excel spreadsheet. LAS can create this spreadsheet for you.
In this window, you select the proper name for your league, season, and playing year. These will be put together to create the file name for the spreadsheet, so you should fill these fields in carefully.
- League -- This should be the name of your league as registered with MSYSA.
- Season -- This should be the short description of your season, like "Fall" or "Spring"
- Year -- This should be the four-digit playing year that you are uploading.
- District -- Fill in your district here. This is pre-filled in with the district id from League Settings
You also need to select what will be included in this export.
- All Players and Members -- Includes everything in your export
- Export Selected Divisions -- Allows you to only export specific divisions. Click the Select Divisions button to pick which divisions are exported.
- Export Primary League ID Only -- If you are managing two "Joint" leagues, this exports only those divisions that have the Primary League ID assigned to them.
- Export Joint League ID Only -- If you are managing two "Joint" leagues, this exports only those divisions that have the Joint League ID assigned to them.
Note that these are the data mappings from LAS into the fields requested by MSYSA:
- Team ID -- this is taken from the LAS Team "Registration Number" which you can on a team properties window. MSYSA suggests you use an abbreviation of the team name with the age group, eg: "MSYSASTU14G" for "MSYSA State Team" in the "Under 14" girls age division. MSYSA requires that this be filled in and unique! so you must fill it in on the Team Properties window before exporting.
- State --this is taken from the address of the parent the player lives with. Only MI, OH, IN and IL are recognized by MSYSA
- Zip -- MSYSA has specified that the zip code sent to them is only 5 digits long, so this is taken from the first 5 digits of the zip code of the member being exported (or the parent that the player being exported lives with).
- Phone -- MSYSA only has room to export one phone number, so the Home phone is used from the member being exported (or the parent that the player being exported lives with).
- Age Division -- Whatever you put in the LAS Division "Level of Play"/"Division Code" field is exported as the "Age Division". Note that MSYSA has requested this to be formatted like "U15", with no dashes or spaces.
- Level -- This will be exported as "Recreational", "Select" or "Premier" based on the setting of the LAS Miscellaneous Data Item called "MSYSA LEVEL", which may or may not exist.
- MSYSA LEVEL doesn't exist or MSYSA LEVEL is Blank or = RECREATIONAL: The Regular Division assignment will be exported as "Premier" and the All Star Division assignment will be exported as "Select".
- MSYSA LEVEL = PREMIER: The Regular Division assignment will be exported as "Premier" and the All Star Division assignment will be exported as "Select".
- MSYSA LEVEL = anything else: If the Regular Division assignment is not blank, it will be exported as whatever the "MSYSA LEVEL" says. If the All Star Division assignment is not blank, it also will be exported as whatever the "MSYSA LEVEL" says. In this case, you should only use either the Regular Division assignment, or the All Star Division assignment... Not Both.
- Type -- All players are called "Player". All staff that have "Coach" or "Manager" in their LAS title are called "Coach" during export. All other staff are called "Administrator".
- Risk Mgmt # -- This field is filled in with the Staff ID Number that was entered when assigning staff to teams. You can change this on the Staff Details window.
- Email -- MSYSA only has room for one email address, so the first email address for the member or player being export will be included.
Finally, you need to specify where to put the exported file. This defaults to being placed in the same location you normally backup to. Click the "..." button to browse to any directory on your hard drive. The file name will be built according to MSYSA's specifications using the information you entered above.
Finally, click "Export' to start exporting your data.
After the export is complete, you may be prompted to "zip" (compress) your data. MSYSA recommends that if your data file is larger than 5 megabytes, that it be compressed before being sent to headquarters. When LAS asks if you would like to do this, click "Yes" and your data will be compressed and saved into a file by the same name, only ending in ".zip".
Now, you're done! All you have left to do is attach the exported file to an email, or upload the file directly on the MSYSA website.
