Account Ledger
The Account Ledger (or Account Register) shows all the transactions for the selected Account. This is alot like a checkbook register (and one account can be used to manage the league's checking account). Each Transaction increases or decreases the balance in the account by the specified amount.
LAS can manage more than one account, and tracks transfers of money between accounts, so that when a transfer is entered, the money is deducted from the source account and added to the destination account.
- Click "Add" to add a new entry to the the Account register
- Click "Edit" to edit the selected entry
- Click "Delete" to delete the selected entry
- ("Locate" will help you find an entry in a future version of LAS)
- Click "Transfer" to add an entry to this account and to another account executing a transfer of funds between accounts
- Click "Move To" to move an entry into a different account's register
The meaning of the fields on this window are:
- Ref # : Reference number for this transaction entry. This commonly is the check number or might be provided by a credit card processor to track the transaction. Other accounts may not provide you with a meaningful "Ref #", and you can simply number the transactions in order, or leave it blank if you don't need to refer to it.
- Date : This is the date the transaction happened.
- Time : This is the time the transaction happened.
- Desc : This allows you to provide a description of the transaction. You can think of this as what you would write on the "Memo" line of a check, explaining what the payment is for. This description should be relatively short and will show up in lists to help you identify the transaction.
- Party : This is either the Payer (if the Amount is positive) or the Payee (if the Amount is negative)
- Amt : The Amount of the transaction. This should be Positive if money is moving INTO this account, or Negative if money is moving OUT OF this account.
- Notes : This is a place you can write any detailed notes you wanted to keep about this transaction.
