14.8.64: Backup Fails with ``Column`EXCLUDE` is not found.``

Fixed in LAS 14.10

LAS v14 included some enhancements to its backup mechanism which required adjustments to the backup list file.

In certain circumstances, this backup list file doesn't get upgraded when you install the new version of LAS. (Starting with LAS v14.10, this file format is corrected during reindex.)

To solve this problem, Download the updated version of this file here, and place it in your LAS directory. (Probably at C:\Documents and Settings\All Users\Application Data\Las Data )

: Do you have to start completely over for next year or does the roster carry over to the next year?

Whether rosters (team assignments) are saved for the next season, or are cleared to make assembling the new teams easier, is entirely under your control.

Before you execute the "Start New Season" function, you should decide whether you want the rosters for the teams in each division to "Carry forwart" to the new season. Edit the Division's settings, (right-click the division name in "League Explorer" and select "Properties"), and mark the check box called "Carry Forward".

After "Start New Season", you still have to re-register each player before they can appear on the roster in the new season (since "Start New Season" ALWAYS marks every player as "Unregistered" and unregistered players do NOT show up on Roster reports.)

Even if you don't "Carry Forward" team assignments to the new season, you never have to "Start completely over" for the next season... the player and member data is saved so that all you have to do is verify that the players' address and other information is up-to-date, specify a team, and click "Register"!

: Does single season handle multiple divisions like Major, Minor, Senior and T-Ball?

Yes!
Single season only restricts you to running one "season" at a time. Each "season" can have many divisions, and each division can contain many teams.

However, each player can only be assigned to one normal team, and one "All Star" ("Select" or Tournament team) during the season. Particularly if you have multiple sports and a player can be assigned to two different teams (for example, a baseball team and a soccer team) at the same time (or in closely-following subsequent seasons), you would want to use the "All Sport" edition of LAS instead of "Single Season".)

Also, in the "Single Season" edition of LAS, each time you "Start New Season", all the season-specific information (such as team assignments, staff assignments and registration fees) is cleared so that you can start over. (Exactly which assignments are cleared can be selected by the user). If you want to be able to go back one, two or more years to see the history of your league, these "History Seasons" can be saved by the "Multi-Season" edition of LAS, but not the "Single Season" edition.

In all editions of LAS, player data (addresses, phone numbers, etc.) is saved to make registration for next season very easy.

Fixed in LAS 10.33
When support was added to LAS for Email addresses, an additional data table was created. Also, additional data fields were added to the schedule file to improve the schedule handling. However the table listing the files to backup does not include these files (EMAIL.DBF) and (SCHEDULE.FPT).
Download the updated version of this file here, and place it in your LAS directory (Probably at C:\AAS\LasWin).

This problem also manifests itself in the following ways:
  • Error "Memo file reindex\schedule.fpt is missing or is invalid" during restore.
  • Window opens prompting you to select a file during "Load Satellite Data" in Merge.

ANY: How can I find LAS`s Data Folder?

Ever since LAS has moved to Windows, its program files are stored in one folder, and its data is stored in another. Because of changing restrictions in Windows, the Data Folder has been moved to a couple different places.

The normal Data Folder is at:
C:\Documents and Settings\All Users\Application Data\LAS Data
You can navigate to this folder easily in newer versions of LAS (v12.24 and newer) by clicking [ The Start Button ==> All Programs ==> All American SportsWare ==> Tech Support ==> LAS Data Folder ]
The Explorer window that then opens will show you the full path of the LAS Data Folder. ( To see the full path, you may have to:

  1. go to [ the "Tools" menu ==> Folder Options ]
  2. then go to the "View" page
  3. find the options called "Display the full path in the address bar" and "Display the full path in the title bar"
  4. Make sure that both those options are "checked"
  5. Click "OK"
The path should now show in the title bar.

In older versions of LAS, you can find the LAS data folder like this:

  1. Right-Click the "Start" button, then select "Open All Users" from the shortcut menu that appears.
  2. Navigate into "Programs", then "All American SportsWare"
    ( If there is no "All American SportsWare", close that window and right click the "Start" button again, this time choosing "Open".)

15.00: How can I produce the new Little League Affidavit format?

Fixed in LAS 15.00.24

Little League seems to be updating their tournament affidavit format every year now. We do our best to keep LAS up-to-date with the new formats as we become aware of them, but we don't have the resources to update older versions of LAS, so you can only expect the latest version to support the latest Little League Affidavit format.

Starting with LAS v15.00 build 24, you can now auto-fill the 2008 Little League Affidavit.

Please note: though Little League publishes the affidavit form as a PDF that you can manually type all your information into, then save, LAS cannot automatically fill out those official PDFs. The LL_Affidavit_BB.pdf and LL_Affidavit_SB.pdf files that ship with LAS have been modified to allow LAS to fill them out for you, however, a side effect of this adjustment is that you can no longer "save" the filled-out form, but you can print it out. This is not a problem because there are many fields on the form (such as signatures, and the pitch counts) that are easier to fill out with pen or pencil, anyway.

ANY: How do I edit the report?

  • While you're viewing the report in Version 14, select "Modify Report" from the "Edit" menu. If there is no "Edit" menu, then you are viewing an "Enhanced Report", and it cannot be edited. You can turn off the "Enhanced" mode for the report, and then edit it in the same way as LAS v10-12. Just go to [ File => Utilities => Setup => Hardware ] and un-check the "Use Enhanced Reports" option.
  • While you're viewing the report in Version 10-12, select "Modify Report" from the "Edit" menu.
  • While you're viewing the report in Version 7-9, press "E" to use the full screen editor. All the features of the FoxPro editor are available. To save changes, press Ctrl-W and you will be returned to the report viewer (with all the changes displayed). To print the modified report, press the "P" key to activate the print.

    If you are using a version of LAS lower than version 7, press S to Save to a File then type a filename ("TEMP.TXT" would be okay).

    Now, edit that file.
    • If you're in DOS, exit LAS, get to a DOS Prompt, and type EDIT TEMP.TXT (replace "TEMP.TXT" with whatever filename you used). When you're done changing it, choose File, Save then File, Exit. Now, at the DOS Prompt again, type COPY TEMP.TXT LPT1 (of course, replacing "TEMP.TXT" with your filename and "LPT1" with the port your printer is on. LPT1 is the most common port.)
    • If you're in WINDOWS, press ALT+TAB to get back to Windows, and start Notepad. (In Windows 95, Notepad is, from the Start button, under Programs..Accessories..Notepad, in Windows 3.1, Notepad is in the Accessories group of Program Manager. ) Choose File, Open and type the path of the file you created, eg. C:\LAS\TEMP.TXT and press enter. Make all the changes you want, then choose File, Save. Press ALT+TAB to get back to LAS, then choose Main Menu, Utilities, Dos Prompt and press the "ANY" key, (okay, if you don't have an "ANY" key, press the spacebar). At "C:\LAS>" or "C>" type COPY TEMP.TXT LPT1 and your modified report should come out the printer!

12.xx,14.x: How does LAS select what division to assign my players to?

When you are entering a new player, you must pass through the "New Div" field. As you leave that field, if it is still blank (that is, if you didn't enter or select a division for the player), LAS will search for an appropriate division and automatically fill that field with the first division to which the player can legally be assigned.

In searching for this division, LAS processes each division in the order in which they show up in the "Miscellaneous => Divisions" edit list. (You can use Ctrl+Up and Ctrl+Down arrow keys to change the division order in this list.)

As LAS processes each division, it skips any divisions that have no criteria defined as Age limits, Weight limits, Grade limits or "User Sort" limits (note that the "User Sort" fields use whatever was entered in Season Setup as a label for the criteria.)

LAS evaluates the following criteria, in this order, to determine whether a player can be assigned to the division being considered:

  1. Player Gender is compared to the genders allowed in the division.
  2. Player Age is calculated according to the age cutoff for the division under consideration. If the division has no cutoff dates defined, the season cutoff dates are used. The resulting age is compared to the age range allowed in the division. This age range is inclusive, meaning that if a division allows 6 thru 10 year olds, 6 year olds and 10 year olds are allowed in it.
  3. The player's Grade (if not blank) is compared to the grade range allowed in the division.
  4. Finally, the player's "User Sort 1", "User Sort 2" and "User Sort 3" fields are compared to any "User Sort" ranges that are defined for the division.
  5. If the season is for Football, the player's Weight is compared to the division's weight range, if it is defined.

14.xx / 15.xx: I can`t change my License Registration Key!

Most likely, you are running on Windows Vista or Windows XP as a "Limited User". Essentially, the problem is that, during the initial "Setup Wizard", your registration information was stored in the Windows Registry. Because of the "Limited User" restrictions that are normal in Windows Vista (and were optional in Windows XP), the LAS application is unable to change that registration information. So, every time LAS starts, it thinks it has a "new" license registration key and organization name in the Windows Registry, and it resets itself back to use that.

WORKAROUND: Fortunately, there is a simple way to "work around" this problem. Instead of just "clicking" the LAS icon to launch LAS, follow these steps:

  1. Right-Click the LAS icon. A "Shortcut Menu" should appear.
  2. Click on "Run as Administrator" in the shortcut menu.
  3. A confirmation window should appear... confirm that you really do want to run LAS with administrator access rights. (You may have to enter the administrator's password into the window.)
  4. Once LAS starts, now use the "Help" menu options to unregister the old license and to register the new license and organization name. Depending on the exact version of LAS you have, you may now be able to simply choose the "Register or Upgrade Your License" menu choice from the "Help" menu.

In case there is any reason the above workaround doesn't solve the problem for you, you can accomplish the same thing by deleting this registry key: HKEY_LOCAL_MACHINE\SOFTWARE\All American SportsWare\LEX\RegKey

In a word, Maybe.

In the xBase world, Indexes are very volatile; there are thousands of ways to corrupt them. But that's OK, almost, because no important data is stored in the indexes, only information about where things are, like the index in the back of a book. Delete the words in the index and the rest of the book is still there and the index can be recreated.

Because of this volatility, LAS includes "Reindex": a process that rebuilds all your indexes and, now in LASv7 and up, attempts to rebuild all your database files in the correct structure. In effect, it converts whatever data it finds into the format that LASv7 uses to store data.

If this process is interrupted (by rebooting, crashing, forced termination, etc.) then the data is un-usable by LAS: the indexes aren't there and therefore LAS can't look up the information it needs. In the best case, only index files were damaged, but in the worst case, reindex was interrupted in the middle of re-creating a file...if so, that file is now un-useable and un-recoverable, except from a backup.

The bottom line is: Once Reindex Begins, Let it finish!


ANY: Pre-Registration Takes Too Many Pages

Try selecting fewer fields to track, then print pre-registration forms. If you, while you don't need these fields on your Registration Forms, still want to track them using LAS, you can then turn the tracking back on after you're done printing.

ANY: Print Pre-Registration Doesn`t Print Everyone In The Division

Pre-Registration prints by the old division, not by the current division. If it's not getting everyone in the old division, Reindex then try again.

The standard location for shared application data has changed in a couple ways in Windows Vista. One way it has changed is that rights for all users to write to files created by other users is no longer automatic.

Often, after installing LAS and running as "Elevated Administrator" the first time, on subsequent runs, even as "non-elevated" administrator, the data folder is now read-only, and this error is shown:

Therefore, to enable the standard users of the computer to access the data files that were installed by the "Elevated Administrator", you have to deliberately assign Everyone the right to do so.

You can follow the instructions on this page to try a quick way of fixing these permissions. However, this way doesn't always work.

If the above method doesn't work for you, you can manually assign these rights enabling all users of the computer to use LAS, by following these steps:
(During these steps, you may be prompted for the administrator password, or simply to confirm the actions. Please do so when Windows asks!)

  1. Open a Windows Explorer window showing the LAS data folder. You can do this in many ways.. here are two alternatives:
      1. Press [ Windows Key + E ] --- a "Windows Explorer" window will appear
      2. Click in the address bar at the top, and type: C:\ProgramData then press "Enter"
      3. Find the "LAS Data" folder in the list of folders in the Explorer window
      1. Click the "Start" button
      2. Type: "explore las v14 data folder" ... Vista should locate the proper Start Menu icon for you.
      3. Press "Enter" to launch that Explorer window
      4. ( A "Windows Explorer" window should appear )
      5. Click on the "ProgramData" hover-button in the Location Bar. (When you hover on it, it should appear like a button)
      6. ( You should now be in the C:\ProgramData folder )
    1. Locate the "LAS Data" folder icon, and click it with your Right mouse button. A "Shortcut Menu" should appear.
    2. Select "Properties" --- an "LAS Data Properties" window should appear
    3. Find the tab called "Security" and click it
    4. Click the "Edit" button (around the middle of the window) --- a "Permissions for LAS Data" window should appear
    5. Click the "Add" button (around the middle of the window) --- a "Select Users or Groups" window should appear
    6. Type "Everyone" then press Enter (or click "OK") -- the window should close, and "Everyone" should show in the "Group or user names" list in the top half of the "Permissions for LAS Data" window
    7. In the bottom half of the "Permissions for LAS Data" window, there's a list called "Permissions for Everyone"... in that list, click the check box next to "Full control" and under "Allow" --- all the other checkboxes under "Allow" should automatically become "checked"
    8. Click "OK" to close the "Permissions for LAS Data" window
    9. Click "OK" to close the "LAS Data Properties" window
    LAS should now work correctly for all local users.


: What does `Start New Season` mean?

In most youth sports organizations, each year starts with all the players turning in their registration forms and registration fee, then being assigned to a team, and then spend the season playing the scheduled games.

At the end of season, it's time to archive all the information about that season, and get ready for the next season. This is what LAS's "Start New Season" function accomplishes for you.

We always recommend creating a backup of your database before executing "Start New Season" so that you can "go back" if it doesn't do exactly what you expected. This backup, too, provides you with an archive of the old season's information.

If you have a "Multi-Season", "All Sport" or "Network" Edition of LAS, you also have the option of "Keep History and Re-Init" which, essentially, duplicates the old season before executing "Start New Season" against the newly created season. This way you can very easily "Log In" to the old (history) season to see who was on what team, who never paid their bill, what power ratings everyone had, etc. The "Start New Season" function's effects will only change this newly created season.

"Start New Season" always marks everyone in the season as "Unregistered". It can also, optionally, take these actions:

  • Delete Inactive Personnel (If they are not referred to by any other season, and if they haven't registered in the number of years that is configured for the current season.)
  • Clear Umpires
  • Clear Staff
  • Clear Volunteer Codes (from the Members' records for the new season)
  • Clear Comments
  • Clear Registration Number (this refers to the "league registration number", not the LAS Player or Member number)
  • Advance Grade
You also specify the year for the new season. This year is used for calculating player ages.

14.xx: What is the difference between `Unregistered` and `All Unregistered`?

Historically, these terms have had several meanings. Originally, when LAS could track only one season at a time, there was simply "Registered" or "Unregistered". This was simply stored as a Boolean value in each player (and member) record (in Player.PF_Registr and Member.MF_Registr, respectively.)

However, once we added the ability for LAS to track multiple seasons simultaneously, we created new tables, PLYREG and MEMREG, and moved all season-related data fields (including PF_REGISTR, PF_LastYr and MF_REGISTR) into these new tables. Each player now would have one record in PLAYER, but could have several records in PLYREG (one for each season), though there were circumstances where a player would have a PLYREG record for one season, but not for the currently selected season.

At this point, (LAS v7.00), "Unregistered" meant that a PLYREG record existed in the selected season, but was not marked as "Registered". Whereas "All Unregistered" was inconsistantly implemented in different functions of LAS.

With LAS v14, these terms have been changed to have consistent meanings:

  • Unregistered - Includes all players who are not registered in this season, but who did play last year. (That is, all players who have a record in PLYREG for the selected season, and whose PLYREG.PF_LASTYR boolean field is True).
  • All Unregistered - Includes all players that are not registered in the selected season.
  • This change is fully implemented by LAS v14.08.


    ANY: When I print to Wordperfect, why does it open in Microsoft Word?

    When LAS prints to the various word processor programs, it creates an RTF (Rich Text File) document formatted specifically for the selected word processor. However, when the file is opened, whichever program is "associated" with ".RTF" files will be the one to actually open the file.

    You can change this association so that the RTF-formatted report file opens in the correct program:

    1. Open Windows Explorer using any of these methods:
      1. Press "Windows Key" + E
      2. Right click "Start" and choose "Open"
      3. Click [ Start => Run ], type "Explorer" and click "OK"
    2. Click [ Tools => Folder Options ]
    3. Go to the "File Types" page
    4. Find the line in "Registered File Types" for "RTF" and select that line
    5. Click "Change"
    6. Find WordPerfect in the "Open With" window...
      1. you may have to click "Browse"...
      2. You could then find the "Start menu" link to it by looking in C:\Documents And Settings\All Users\Start Menu\Programs....
      3. or C:\Documents And Settings\[your user name]\Start Menu\Programs...
    7. Click the "OK"s to confirm the settings change
    Now, "RTF" files will be associated with WordPerfect.

    (You can follow similar steps to associate RTF files with any word processor that understands them.)


    v15: Why can’t I save reports to PDF’s any more in version 15?

    In LAS versions prior to v15, most of the reports used our "WinPrint" report previewer. While we had created many great tools in this previewer, such as the "Save to PDF" feature, it was still difficult to create reports that were truly attractive.

    In LAS v15, we converted most reports into a newer style which make better use of the printing system in Microsoft Windows. These newer "Advanced Reports" use a different previewer which does not include a "Save to PDF" feature.

    However, you can easily switch back to using the older reports, which still use WinPrint as a previewer, and therefore have the "Save to PDF" feature available. To switch back, follow these steps:

    • Launch LAS
    • Go to [ File... Utilities... Setup... Hardware ]
    • On the first page of settings, "Printing and Reports", unmark the checkbox labeled "Use Advanced Reports"
    • Click "OK" to save the change
    From then on, nearly all the reports should load in WinPrint, and you should again be able to create the PDF files. (There are several new reports that were created in version 15 which are always generated using the "Advanced" system)

    One of the planned improvements for version 16 is a new report previewer which enables you to generate PDFs (and several other format files) from the attractive and new "Advanced" reports.


    Any: Why do I get Error 26: ``Table has no index order set``?

    This problem usually happens when your data files are not properly indexed. The best solution is to reindex your data files, which you can do by following the instructions here: How To Reindex

    The most common cause for this index problem is that the data files were somehow copied from a backup location into the active data folder. The indexes are deliberately removed from the backup copies to reduce the size of the backup, so when the data files are replaced in this way, they have not indexes associated with them. A standard "Reindex" should correct the problem, recreating all the required indexes. (Note: v15+ should detect this situation before it causes an error and automatically reindex your data.)

    This problem can be caused by other issues, however. So if reindex doesn't solve your problem, you may check our downloads area to see if there is an updated version of LAS that might solve the problem you're encountering.

    If you still experience the problem and you are running the latest build of LAS, then you'll want to contact Technical Support.


    ANY: Why does Register Auto-fill the Wrong Division name?

    LAS finds the first partial or full match for the division in the list of divisions that you entered. The search is done in the order of the divisions as you set them up. For example, if your divisions are "FarmA" and "Farm", then every time you type in "Farm", it will fill in"FarmA".
    To make it select the correct division, list any divisions first whose names are part of other divisions names.
    In our example, change the order of the divisions in your list to "Farm" then "FarmA".
    (To change the order, delete the top division, then add it again. It will be added at the bottom of the list. Don't worry, no players will be removed from the division.)

    14.21: Why does the Registration Window get error #1734: `Property DIV is not found` in PROCEDURE FRMCTRLPANEL.INIT?

    This problem only occurs when you try to open the "Registration Screen Control Panel" by clicking on the ">>>>" button above the "Mother's" information (off to the right). If you are using the "Enter" key to move from field to field, then every time you pass through a button, pressing enter will "push" that button as though you clicked on it.. this is very much NOT recommended, since you'd potentially change some of the data while doing that.

    Instead, press the "Tab" key (on the left of your keyboard, above "Caps Lock") to move from field to field, and this error won't be encountered.

    WORKAROUND: If you do accidentally open this window, you can click "Ignore" about 6 times, then click "Ok" about 6 times, and LAS will continue running without you having to exit, restart, and reindex it.

    ( This "Control Panel" is a new feature that is to be released in LAS v15, but which had been left "enabled" in later builds of LAS v14, even though it had not been fully tested. )


    ANY: Any Version - How do I select the appropriate league age cutoff dates?

    This question is coming up frequently now that Little League has changed the criteria for calculating players official League Age. The stated cutoff dates ("league age determination dates") are now April 30th for baseball and December 31st (of the previous year) for softball players. This is Little League's explanation for how ages should be calculated:

    19 Q Will it be difficult for local leagues to institute these changes?
    A It should not be. For baseball, the simplest way of explaining it is this… A baseball player’s chronological age on April 30 of the year in question is his/her league age for that year (starting in 2006). For softball… A softball player’s chronological age on the previous Dec. 31 is his/her league age for the current year (starting in 2006).

    The confusion in how to configure LAS comes from the fact that the Dec 31st date is not Dec 31st of the current season year, but rather Dec 31st of the previous year.
    This definition differs from the way LAS has always been designed: LAS has always treated the cutoff dates as being in the same year as the season being played.

    LAS v14 will make this calculation exactly as Little League specifies, (which our Softball customers will appreciate, too, since most national softball associations use this same calculation, based on December 31st of the prior year, for determining player eligibility and league age ).

    However, older versions of LAS cannot meet this calculation precisely. Yet these older versions still can be configured to mostly accomodate the change in Little League policy.

    In your 2005 and later Little League Baseball seasons:

    • In ALL LAS versions: Set your cutoff date to April 30th

    In your 2005 and later Little League Softball seasons:

    • In LAS versions prior to v14.00: Set your cutoff date to January 1st
    • In LAS v14.00 and newer: Set your cutoff date to December 31st

    (If you manage one season with some baseball divisions and some softball divisions, make the above settings in the appropriate baseball and softball division records.)

    Please Note: These issues have been identified in calculating ages in LAS versions prior to v14.00:

    1. Using Jan 1st has the drawback that players born on January 1st will have their age calculated as one year too old. (But this is better than the alternative: Selecting December 31st would make LAS calculate everyone's age as one year too old).
    2. If the same Division name has been used in multiple seasons, LAS may use the division record from the wrong season for calculating the age on the registration window. To be sure this age calculation is correct, change the Cut-Off month & day to 0 for all divisions in all seasons that are not current.

    You should be sure to set the correct Cut-off dates as soon as possible and before running the "Start New Season" function in LAS, so that the correct age can be calculated for aging players out of the league and for assigning players to divisions.


    12.22: Error Function Argument Value, Type or Count is Invalid in Procedure

    A mistake introduced in v12.22 fails when trying to convert a blank area code into the home area code when producing reports. You can easily avoid this problem by making sure all your phone numbers have an area code. If you already have many phone numbers entered without area codes, you can do this:

    1. Start LAS and go to [ File ==> Utilities ==> Setup ==> League ]
    2. Make sure that the "Default Area Code" on that window is correct. The Fixes patch will use this area code to fill in the database has a blank area code. (If this is blank, the Fixes patch will use "999"... blank areacodes are not allowed in the database.)
    3. Install either the patch called "Fix ACODE Error 11" or "LAS Service Pack 1" by following the directions on this page: http://www.allamericansportsware.com/fixes
      (it will be near the bottom of the list of patches)
      (This patch is included in "LAS Service Pack 1" revision "d" and newer.)

    (As far as we know, the incorrectly formatted phone numbers were caused by LAS versions prior to v12.24, so you should only have to run this plug-in once. However, if you encounter the ACODE error again, run this plug-in again to clean up any new phone numbers that are missing area codes)


    12.00: How do I Flexport All Unregistered? It doesn`t give me what I need.

    LAS stores player and member data in two pieces: a season-independant "PLAYER" or "MEMBER" record, and a season-dependant "PLYREG" or "MEMREG" record. When a player or member has not yet been registered, the PLYREG and MEMREG records may not yet have been created. (This happens usually when the player/member was entered in a different season, and has never been registered in the current season.)

    However, Flexport has problems when these registration records don't exist for a particular player or member, and produces strange data in the export for those records.

    To export these records, we need to create empty PLYREG and MEMREG records for every player in the current season. You can do this by following these steps:

    1. Install the patch called "Create Missing PlyReg/MemReg Records" by following the directions on this page: http://www.allamericansportsware.com/fixes
      (it will be near the bottom of the list of patches)
    2. In LAS, edit the flexport method and make these changes:
      On Step 1, Select to "Include" "Unregistered" (Not "All Unregistered")
      On Step 3, set "Do Not Show Player Filter"
      On Step 4, set "Do Not Show Multiple-Division Selector"
      Click "Finish"
    3. Now, run that Flexport method, and it should get what you expect.


    10.00: Some of my reports show only one page, followed by a bunch of blank pages.

    This problem only happens when LAS fails to replace the report files when installing the new update.

    The installer has trouble replacing files that have been changed since the original installation (it considers them to be user-data files and doesn't want to lose them). One way to solve this problem is to delete the FRX and FRT files from the LAS data folder before installing (or "Repairing") the LAS update.

    Alternatively, You can run the patch called "Fix Reports that only Show First Page" by following the instructions on this page: LAS Patches


    12.24: Start New Season blows up with Variable Not Found

    Fixed in LAS 14.00

    To correct this problem, download the "LAS Patch" plug-in, and apply the patch called "Fix Missing Variable on Start New Season".
    After it is installed, Start New Season will work fine.

    You can find specific instructions on how to download and the Patch plug-in here: LAS Patches

    Please note that when LAS encounters the "Variable not found error" during "Start New Season", that causes it to end the process prematurely. When you restart LAS, it may seem that the new season has been successfully started.

    However, these actions will have failed to take place on any players other than the very first, because "Start New Season" ended early:

    1. Mark all registered players as "Unregistered".
    2. Age recalculated for the new season's year. (Reindex automatically corrects this problem)
    3. Tryout division and Tryout number cleared
    4. "Pass Printed" flag reset to "Not printed"
    5. Player "Amount Due" and "Fundraising Due" reset to $0
    6. Grade advanced (If "Advance Grades" was selected in the "Start New Season" dialog box.)
    7. League Registration Number cleared (If "Clear League Registration Numbers" was selected in the "Start New Season" dialog box.)
    8. Player "Comments" cleared (If "Clear Comments" was selected in the "Start New Season" dialog box.)
      If the player was registered:
    9. Store the old Season Year into the player's "Last Played Year" field
    10. Store "Yes" into "Played Last Year?" field
    11. Increase the Player's "Years of Experience" by one
    12. Store the old Division and Team assignment into "Last Division" and "Last Team"
    13. Remove the player from the old division and team if either the division is configured to not "Carry Over Team Assignments" or the player is no longer eligible to be in that division, based on their new age and/or grade.

    So, we recommend that you run "Start New Season" again after installing the patch mentioned above.
    (NOTE: If you're using an edition of LAS that supports multiple seasons, and had selected "Keep History and Re-Init" when first running "Start New Season" and it ended prematurely, first delete the new season that it had created, before running "Start New Season" again)


    12.00: Why can`t I tab into the Dues Field?

    Even when the new "Misc Data" field is turned off, it still (inadvertantly) affects the movement of the cursor in the registration window. When you tab from the last visible field before the "Amt Due" field, a small window appears in the top right of the LAS window showing something like "9:0" in it, and hitting "Tab" won't move the cursor into the "Amt Due" field.

    If you hit the Enter key while the little "9:0" window is visible, you can then hit Tab again and the cursor will move into the "Amt Due" field.

    Alternatively, you can go to [ File => Utilities => Setup => Season ] then click "Select Member Fields" and make sure the "Misc Data" field is Checked.


    ANY: Why do labels print the Mother`s name in capitals when her last name is different than the Father`s name?

    Fixed in LAS 14.00
    This is an unintended side effect of how the mother's name is put on the label.

    Usually, the label can simply have the first names and one last name, such as "John & Mary Smith". However, when the mother's last name is different, the combined names can be too long for one line, so LAS puts the mother's name on the second line.

    However, the second line is designed for the first line of the address, so, it is automatically capitalized (since the USPS recommends that envelopes be addressed in all capitals). Therefore, the mothers name gets capitalized.

    This is easily remedied by removing the "UPPER" command from the label definition file:

    1. Go To [ Personnel => Labels => Configure Labels => Customize Labels ]
      (the "Label Configuration" window will appear)
    2. Change the line containing "upper(alltrim(lf_addr1));" to be simply "alltrim(lf_addr1);" (without the quotes)
      (note that the first line of the label is supposed to be blank)
    3. Click "OK" to save your change.
    This will solve the problem, so that the mother's name is not changed to all caps

    This will have the side effect that the first line of the address will now never be all-caps unless the mothers last name is different. However, the postal service doesn't mind when this is the case... they still deliver the letter!

    (Note, however, that any information from the second address line will not be included on the address label if the mother's last name is different. There is no workaround for this in v12.xx other than entering such data on the first address line in LAS.


    12.00: Why does editing a season get 'Alias Season Not Found' error?

    Fixed in LAS 14.00

    In certain revisions of LAS v12, this error is encountered when you right-click the season name in the League Explorer window and select "Properties", or when you click on the season name and then click "Edit Details" in the right side of the League Explorer window.

    This problem only occurs when trying to edit the season from the League Explorer window.

    If you, instead, click [ File ==> Utilities ==> Setup ==> Season ], you can easily edit the season without encountering this problem.


    12.20: Why does reindex get the error "unrecoverable error indexing AutoComp.DBF"?

    The AutoComp.DBF file is used for remembering what has previously been entered into fields to enable automatic completion as you type the same value again into the same field in the future. This feature is not used in LAS v12, but LAS does attempt to create the table that supports this feature.

    A problem can occur, however, if LAS has already opened the AutoComp table before beginning to reindex. In this case, you might get the error "Unrecoverable error indexing AutoComp.DBF (Error=Unknown error code 2071)"

    You can work around this error by deleting all the "AutoComp" files in the LAS data folder. To do this, follow these steps:

    • Make sure LAS is not running
    • Click [ Start => Programs => All American SportsWare => Tech Support => Explore LAS Data Folder ]
    • In the Windows Explorer window that appears, locate all the files named "AUTOCOMP":
      AUTOCOMP.DBF
      AUTOCOMP.FPT
      AUTOCOMP.CDX
      and delete these files.
    LAS should now startup and reindex normally.

    Another way to work around this problem is by using our "Fixes" patch plugin.
    Follow the instructions on this page: http://aasportsware.com/fixes and install the patch called "Fix AutoComp table error in Reindex".
    This may not be sufficient for you if you aren't able to start LAS due to Reindex failing, in which case, you'll have to follow the steps above to manually delete the AUTOCOMP files.


    9.30: Printing of Incident Reports Fails

    When printing any incident report, the error message "File 'lstincnt.prg' does not exist." is displayed. Download this file and put it in your LAS directory (usually c:\aas\laswin)

    15: A crash during Reindex can leave LAS impossible to start

    If LAS crashes during reindex, (perhaps due to some problems with an incorrectly installed plug-in), then the data folder can be left with index files in it, yet without the data files connected to the index files.

    This means that the next time LAS tries to start, it will appear that the data files are properly indexed, but it will encounter an error as it tries to open the first data file (which happens to be MENUES.DBL).

    Normally, the next time LAS starts after such a crash, it would automatically reindex the data files. However, because menu files are opened before the user is fully "logged in", LAS never knows that the user didn't properly "log out" before the unexpected termination, and therefore LAS has no indication that it should reindex.

    WORKAROUND: Just create a file called "REINDEX.NEW" in the LAS Data Folder. (It doesn't matter what is in the file.. copy any file into the LAS Data Folder, and rename the file to "REINDEX.NEW". Windows may complain that you are changing the "extension" or "file type"... just confirm that you are sure you want to.)
    The next time LAS starts, the REINDEX.NEW file will tell it that it should start by reindexing the files. Once it finishes successfully, the REINDEX.NEW file will be automatically deleted.


    v14+: After upgrading LAS, I now get several plug-in errors saying ``Errors were encountered while evaluating plug-in files``

    If you had previously installed a "Service Pack" into LAS, and then you upgrade LAS to a newer major version number (such as from v12 to v14), you might receive a warning similar to this each time LAS starts or reindexes:

    Errors were encountered while evaluating plug-in files
    Patch: Flexport Update verison is too low 12.17
    Patch: AFTF Import Update verison is too low 12.17
    Patch: Start New Season verison is too low 12.17
    Patch: Reindex Autocomp verison is too low 12.17
    This probably indicates that these plug-ins were not correctly installed

    These errors occur because the older service pack is no longer necessary in the newer version of LAS because its functions have been integrated directly into the newer LAS. The warning message, therefore, is nothing to worry about.

    The newer versions of LAS don't auto-uninstall the older service pack (which installed as several Plug-ins), but the plug-ins know they shouldn't run since the LAS version is newer.

    You can stop LAS from showing this warning by removing the references to these plug-ins. Follow these steps:

    1. Start LAS as the LAS Administrator
    2. Go to [ File... Utilities... Plug-ins ]
    3. Select each plug-in in the list, in turn, and click the "Uninstall" button at the top.
    4. ( You may have to confirm any dialog boxes that appear asking "if you are sure" or "if you want to delete the plug-in file", etc. )

    The next time you start LAS, the warning will be gone.


    10.00: Babe Ruth passes are the old format.

    Download both label format files listed below (by right-clicking on them and selecting "Save Target As"), and place them in your LAS directory (Probably at C:\AAS\LasWin).

    10.45: Babe Ruth Passes produce error "Function argument value, type, or count invalid".

    There was an adjustment made to LAS, but the default Babe Ruth passes label format file wasn't fixed accordingly, and therefore crashes when you try to produce passes. The change isn't hard to make, though, so just follow these steps to fix this problem:
    1. Run LAS
    2. Go to [ Personnel => Labels... => Configure Labels... => Select Label Format ]
    3. Find and select the file "baberuth.lbl", click "Ok"
    4. In the label definition box at the center of the "Label Configuration" dialog box that appears:
      1. Find the line containing the text "trim(DtoC(mIssDate))" (this should be about the 6th line down)
      2. Change this text to "alltrim(missdate)" (don't include the quotes... capitalization doesn't matter)
      3. Press Ctrl+A (which should invoke the "Save As" dialog box)
      4. Select "baberuth.lbl" in the dialog box, and click "OK"
      5. Click "Cancel" to close the "Label Configuration" dialog box.
    5. Try producing the Babe Ruth passes. If it works, then make this change permanent with these steps:
      1. Go to [ Personnel => Labels... => Configure Labels... => Customize Labels ]
      2. Press Ctrl+A (which should invoke the "Save As" dialog box)
      3. Type "baberuth.lbd" in the dialog box (Including the quotes!!), and click "OK"
      4. Click "Cancel" to close the "Label Configuration" dialog box.
    6. Restore the normal label layout by: (the steps above made Babe Ruth passes the "normal" label layout, which it isn't)
      1. Again, Go to [ Personnel => Labels... => Configure Labels... => Select Label Format ] again
      2. Select the file "default.lbl", click "OK"
      3. When the "Label Configuration" Dialog appears, click "OK" to close it.

    15.00: Can I drag more than one player at a time in League Explorer?

    Yes, Starting with LAS v15, you can!

    This capability is kind of "hidden", but only because it is the standard Windows way of doing things.

    If you click on the Season node in the tree, all the registered players should show in the right. Now, follow these steps to select more than one player:

    1. Click on one of them, and it should become selected.
    2. Hold the Ctrl key and click another, and it, too will become selected.
    3. Hold the Shift key and click another, and every player between the first one you clicked and this one will all become selected.
    4. Click-and-drag any of the selected players, and the whole bunch will be dragging. You can then drop the whole bunch onto a division or team to change all the assignments at once.


    14: Can I have LAS automatically assign players to teams some time after the registration period?

    Yes, you can register kids without team names. (in fact, we recommend that you do.)

    LAS will automatically assign the divisions as you enter each kid (or, if they are already registered, when you find their record, then click "Register".)

    At any time (during or after registrations) you can create the teams in each age division. These newly created teams will have no kids assigned to them at first.

    Then, you can manually assign each player to a team, or use LAS's "Auto-draft" ( found at [ Personnel --> Auto Draft Players --> Auto Draft ] ) to quickly assign players to teams. The Auto Draft process only assigns players who don't have teams yet to teams, and you can specify the maximum number of players to put on each team. Also, some or all teams can have zero, one, or more players already assigned to them for any reason you care about. LAS can even automatically assign any coaches' children to their parents' teams as a "Pre-draft" process.

    After you select the Auto Draft settings, then click "OK" to tell it to "Go!", and you'll see the progress of the draft process.

    Once the process is complete, you can use all of LAS to inspect the resulting team assignments. That is, you can use the Leage Explorer window, the Registration window, and all the Reports.

    You can, of course, then change any individual assignments that you're not happy with.

    Or, if you really didn't like how it worked, then you can Undo the entire draft ( by choosing [ Personnel --> Auto Draft Players --> Undo Draft ] ) ... This will restore ALL team assignments to their status before the draft was started... this includes undo-ing any manual team assignment changes that you may have made.

    (Note: If you do several Auto-drafts in a row, LAS will ask you if you want to replace the "Undo Draft" information, as you start the 2nd, 3rd, etc, draft processes. If you answer "Yes", you can only Undo changes that are made after that moment. Otherwise, Undo will take you all the way back to the team settings just before the first auto-draft process.


    15.00: Corrupted MISC.DBF records cause problem generating rosters

    The cause of the problem is that LAS attempts to put a checkbox on the roster-options window for each phone number label that you used in your database. However, because of a bug in an older version of LAS, there are several dozen corrupted records in your phone number list that make LAS try to create several dozen checkboxes. This causes the list to run off of the screen, and causes the error preventing you from generating rosters.

    To correct your database, follow these steps:

    • 1) Create a backup of your database. (The backup you emailed me should be sufficient, unless you've entered much data since then).
    • 2) Go to [File... Utilities... Tech Support... Command Prompt]
    • 3) Type each of the following 2 lines, each line followed by pressing enter where I type [ENTER]:
      DELETE FROM MISC WHERE ITEM='PHONE:M'  [ENTER]
      EXIT  [ENTER]
    • 4) That's all! Try producing rosters, and they should work fine.

    9.35: Error while starting: SQL out of memory

    Fixed in LAS 10.23
    LAS versions between 9.35 and 10.23 had an error in the reindex code that sometimes would double the size of the LEAGUE.DBF file with every reindex, eventually making the file too large to be used by LAS.

    To remedy this problem, simply close LAS, delete this file (LEAGUE.DBF), then restart LAS. It will automatically reindex and create an empty copy of the file.
    The settings in this file are accessible from the menu [ File -> Utilities -> Setup -> League ]. You'll have to re-enter your league's president's contact information, League ID's, and all the other information on the league.

    14.xx: Export crashes with error: "Variable 'GCFIXESAPPFILE' is not found."

    This problem can occur if you install LAS v14 and then restore data that had been backed up in LAS v12. This backed-up data includes references to the LAS v12 "Fixes" service pack / patch, which is no longer required in LAS v14.

    To solve the problem, you need to remove the traces of the LAS v12 Service Pack. Follow these steps:

    1. Go to http://www.aasportsware.com/fixes/ and follow the steps for installing the LAS v14 patch called "Install the FlexPort Update"
    2. After the install completes, go to File...Utilities...Plugins and uninstall / remove any patch plugins that show in the list.
    This should correct all old references to the unnecessary v12 Service Pack.

    10.00: File Not Found error while producing reports

    This problem often occurs when running on Windows XP due to a different way that XP now reports the temporary file location to applications like LAS. The easist way to solve this problem is to adjust your computer's temporary file location to be C:\Temp. To do this, follow these steps:
    1. Make sure LAS is Not running.

    Click your "Start" button, then find "My Computer" and right click on it.
    The "Shortcut menu" will appear: Click on "Properties"

    14.xx: How can I produce custom reports on Players or Members?

    LAS provides very flexible player filtering, and hundreds of reports; but we know that we couldn't think of everything you might need.

    For this reason, LAS has a powerful export capability, called "Flexport", to enable you to easily access your data. Microsoft Excel works particularly well as a filtering and reporting tool, when combined with your LAS data through Flexport, enabling you to sort and filter, even on Member data.

    Here are some example steps illustrating how to use Flexport to get your member data into Excel:

    • Start Flexport: [ Personnel Menu --> Flexport ]
    • Click "Add"
    • Give this flexport method a name, such as "Members to Excel"
    • Select these options:
      • Content: "Members"
      • Include: "Registered Only"
      • File Type: "Microsoft Excel"
    • Click "Next"
    • Choose the fields you want to export by selecting the fields in the left list, then clicking the "Add -->" button. (The fields are sorted by Data Item description. You can select multiple fields by holding Shift or Ctrl when you click)
    • Change the names that each field will be given in the export, in the right list. (This isn't a necessary step... these names will show in the first row in the Excel spreadsheet.)
    • Click "Next"
    • Select "Do not show Player filter"
    • Click "Next"
    • Select "Do not show Multiple-Division selector"
    • Click "Next"
    • Select "Do not show Staff filter"
    • Click "Next"
    • Select "Do not show Member filter"
    • Click "Next"
    • Select "Do not show Player filter
    • Click "Finish"

    You now have a reuseable Flexport export method. To actually go and create the exported Excel spreadsheet, follow these steps:
    • Start Flexport: [ Personnel Menu --> Flexport ]
    • Select the method you created before, such as "Members to Excel"
    • Click "FLEXPort!"
    • Click "Next" until you get to the "Step 5 -- Select Export File and Export"
    • Enter the name of the file you want to create.
    • Click "Finish"
    Your exported data should automatically open in Excel.

    15: How can I produce PDFs from the new Enhanced Reports?

    You might ask: "I like these new, prettier 'Enhanced Reports', but I can't edit them like I used to in "WinPrint", or export them to PDFs. Why did you take that away?"

    Don't worry: We didn't take anything away. If you go to [File... Setup... Hardware] and "uncheck" the setting "Use Enhanced Reports", then you can still produce the older, WinPrint-based reports, and can edit them and export them to PDF.

    So, you may wonder, why are "Enhanced Reports" better? We've been converting all our older reports to use a report system that can easily produce high-quality, very attractive reports. The development tools we have available for LAS v15, however, don't allow for editing the generated reports, or exporting them to PDF files.

    We have planned, for a future release of LAS, to add the ability to export these reports to PDF, as well as to Microsoft Word, Excel, and several other formats. The Microsoft Word-exported report will then be able to be edited with much more power and control than is currently possible with the WinPrint-based reports.


    ANY: How do I add a member with no attached players?

    It seems that the registration screen requires that all members you enter to be the parents of a player in the league. This really isn't the case: You can enter just the member information and leave the player fields blank. When you click "Register" (or "Unregister"), LAS will recognize that there is no player, and will just save the member record with no attached players.

    There is also a registration window designed to deal specifically with members... and there are several ways to get there:

    1. From the Player Registration screen, click "More Options" then "View Member Details".
      (This will switch to the "Member Registration Window", which will show all attached players and any staff assignments in the list at the top.)

      Now, click "More Options" (which will have different options on it than before) and then click "Add Member".

      A blank "Member with No Players" registration window will appear.
    2. Click [ Personnel ==> "Member Info (Registered Only) ].

      A list of all members will appear, titled "Member Information".

      Click "Add", and a blank "Member with No Players" registration window will appear.
    3. On the toolbar (in it's default configuration) the third button has a man and a woman standing next to each other on it, and is called "Edit Members" (if you "hover" over it with the mouse, the name appears as a tooltip).

      Clicking that button will take you to the same place as #2.

    12.xx: How do I select which divisions to Export to Little League (AFTF Format)?

    When you choose to export Players and Member to AFTF format for Little League ( [ Personnel => Flexport => Little League Active File Transfer Format => Flexport! ] ), there is an option on the window called "Export Selected Divisions", but there is no apparent way to select the divisions!

    This is because the "Select Divisions" button is accidently covered over by the "Export Selected Divisions" Radio buttons.

    WORKAROUND: You can simply move the focus to the Sport combo box, then press tab. The focus will then move to the "Select Divisions" button, (though it is invisible), and you can just press the Spacebar, and the division selector will appear.


    12.xx/14.xx: How should I transfer my list of teams between GameTime and LAS?

    In recent versions of LAS and GameTime there are two methods of transferring team names from a GameTime schedule into LAS that we will describe here as methods "A" and "B".

    You can use either method. The only advantage is that with method "B" you only have to select the path to the LAS master schedule once, but with method "A", you have to browse to the GameTime data folder every time.

    A) From within LAS:

    1. Select [ Schedules ==> Import ]
    2. In the dialog that appears, browse to your gametime data folder. This is now usually at [ My Documents\Game Time Schedules] or at [ C:\Documents and Settings\(your user name)\My Documents\Game Time Schedules ]
    3. Select the appropriate schedule to import, and click OK
    A division will be created in LAS for each subdivision in this GameTime schedule.
    All the teams in this schedule will be added to the appropriate division(s) in LAS.
    All the games in this schedule will be added to the LAS schedule

    B) From within GameTime:

    1. Configure the Master Schedule Path to point to LAS's SCHEDULE.DBF file by:
      1. Going to [ Tools => Options ]
      2. Open the "File Paths" Page
      3. Click the "..." button next to the "Master Schedule Path"
      4. Browse to and pick LAS's SCHEDULE.DBF file... this is now usually located at C:\Documents And Settings\All Users\Application Data\LAS Data\SCHEDULE.DBF
      5. Click "OK" to save the settings
    2. Open the schedule you want to send teams from to LAS
    3. Click the "Details >>" button in the lower right of the Schedule Editor
    4. Go to the "Schedule Tools" page
    5. Click the button "Add To Master"
    6. If you have multiple seasons in LAS, a dialog will appear asking which season to send it to... pick the correct season
    A division will be created in LAS for each subdivision in this GameTime schedule.
    All the teams in this schedule will be added to the appropriate division(s) in LAS.
    All the games in this schedule will be added to the LAS schedule.

    12.00: I cannot add my first player!

    Certain revisions of LAS v12 had trouble calculating the first player and member ID numbers to use, and would crash when trying to add the first player and/or member to an empty database.

    If you are affected by this problem, you recieve an error window with this message when you try to save a new player/member:

    LAS Encountered teh following error:
    Msg: Operator/operand type mismatch.
    Line: 1200
    Err: 107
    Proc: lasregistration.nextid
    Alias: NEXTIDWRK

    First Workaround
    Download this saved backup, which is empty except for one player, one member (each with blank names), one account and one ledger entry, and restore from it into LAS.
    L_EmptyBackup.zip

    Note: Following these directions will clear out all LAS Players, Members, Accounts and the General Ledger. This shouldn't be a problem for you because, in most cases this error will occur only when your database is completly empty, and this error prevents you from entering any data into the tables that will be cleared.
    However, it is possible that you have players and members from a previous version of LAS, but have just encountered this problem while trying to work with the General Ledger. In this case, to simply work around the problem and preserve all existing data, follow the second workaround below.

    You can follow these steps to restore this backup:

    1. Right-click the link above, and select "Save Link As..." or "Save Target As..."
      (a "Save As" dialog box will appear>
    2. Select a destination that is easy to find again
      ("My Documents" and "Desktop" are not easy to find from within LAS. An easier place would be at "C:\L_EmptyBackup.zip".
      If you cannot download directly to the computer running LAS, you can download this file to a floppy disk or save it on a CD and take that to the computer running LAS. )
      Then click "OK".
    3. When the download has completed, launch LAS and log in to it.
      Then, go to [ File => Utilities => Backup/Restore => Restore ].
    4. In the "Restore" Dialog that appears, type the path to the file you downloaded in step 2 (or click the down-arrow button to browse to it).
      Then click "OK". (there is no need to check the "Restore Backup of System Config" checkbox.)
    Once the restore operation completes, you should be able to add players and members normally.

    Second Workaround
    If you don't want to erase all your data by restoring the empty backup, you can follow these instructions instead:

    1. Start LAS and log in.
    2. Go to [ File => Utilities => Tech Support Tools => Command Prompt ]
      (your background will turn blue and all windows except for "Command Prompt" will disappear)
    3. Type the following commands, each followed by the Enter key:
      INSERT INTO PLAYER ( PF_NUMBER ) VALUE ( 0 )
      INSERT INTO MEMBER ( MF_NO ) VALUE ( 0 )
      INSERT INTO ACCOUNTS ( SEASON ) VALUE ( 0 )
      INSERT INTO LEDGER ( SEASON ) VALUE ( 0 )
      EXIT

      The "Command Prompt" should disappear and you should be returned to the LAS menu system.
    You should now be able to add players and members normally.

    v15: I marked my registration number as protected, so why can I still change it on the registration window?

    When you go to [ File... Utilities... Setup... Season ] and mark the checkbox labelled "protected", you likely expect that the generated registration number cannot be changed. However, you still can change it, because you must have been logged in as "administrator" to get to the Season Setting, and administrators can always change the registration number! (in LAS v15, anyway)

    With v16, LAS behaves more consistently: If the registration number is marked as "Protected", even the administrator cannot change it on the registration window. If the admin needs to change it, they must first go to Season Setup and un-mark the "Protected" checkbox.


    9.00: If LAS starts with the window too small, UpHardWr throws an error.

    Fixed in LAS 15.18

    It seems that the LAS window is too small when LAS is trying to initialize it's operating environment, which causes it to use "-1" in a place where it cannot.

    Adjusting the LAS icon to make it start up fully maximized should solve the problem.

    Just follow these steps:

    1. Right-click your LAS icon
    2. Select "Properties" on the shortcut menu that appears.
    3. In the "Properties" window that appears, find the line called "Run" (it probably says "Normal Window" next to it in the drop-down pick list)
    4. Select "Maximized" as the new value for "Run"
    5. Click "OK"
    6. Try running LAS.

    LAS should now start up "maximized". Because of how Windows remembers the previous size of windows, it may be that if you click the "restore" button (the middle of the three buttons in the top-right corner of the LAS window), the LAS window may restore to being a very small window. You should then be able to drag the window corner to resize it larger.

    After you exit LAS, Windows should remember this new size, instead of the very small size, and everything should work fine, even if you change the properties back to "Run" in a "Normal Window".


    12.00: Network Client gets the error File Misc.dbf is in use

    In certain network environments, the LAS network edition will often encounter a "File In Use" error when accessing the MISC.DBF file (which is where phone numbers, email addresses and other miscellaneous data are now stored).

    There is now a patch available which addresses this problem, enabling LAS to better manage the multi-user contention.

    Follow the instructions here to install this patch on the network.


    14.14.75: Player Labels for All Unreg with Filter params Crashes

    This error only occurs for "All Unregistered" players, and when there are filter parameters selected.

    WORKAROUND: Either select a different set of players (try "Unregistered") or don't specify any filter conditions.
    Other player labels don't have this problem.


    9.30: Printing Conflict Report Fails

    Msg: Command contains unrecognized phrase/keyword.

    There is a bug in filtering the team or coach conflict reports by division. You can avoid this error by simply leaving the division blank and producing a full team or coach conflict report including all divisions.

    9.00: Printing of Non-Registered Players Fails

    When printing this report, the error message "Variable 'PF_Comments' is not found." is displayed and the report is NOT generated. You must update to print this report.

    14.13: Registration Window crashes with `Operator/Operand Type Mismatch` on Line 111 in procedure LookupFees.

    Fixed in LAS 14.14.75

    This error happens when LAS is trying to determine whether it should fill in the default per-player Fundraising Fee for the newly selected division, when it already has a value in the player's fundraising fee field. It is fixed in LAS v14.14.75 and newer.

    WORKAROUND:
    This workaround is only recommended if you really would prefer to track Fundraising Dues at the Member level instead of per-player (we recommend installing the update, instead):

  • Turn off the Player-Funds-Due field in [ File -- Utilities -- Season Setup -- Select Player Fields to Track ].
  • Caution: This has the effect of consolidating all the per-player Fundraising Dues into the per-member Fundraising Dues field. The fundraising dues will then be tracked at the member level (which is the way older versions of LAS worked.) There is no way to automatically undo this change.


    10.15: Score collection report only shows games on first page.

    This is due to the footer field being too narrow in the report format file. You can correct this using the following steps:
    1. Go to [Help -> About]
    2. Press "!" to get to the technical support "Command Prompt"
    3. Now, Type (exactly, all on one line):
      UPDATE schscore.frx SET Width=180 WHERE (ObjType=1 AND ObjCode=53) OR UPPER(ALLTRIM(Expr))=='RPTFOOTER'
    4. (press enter)
    5. Type: EXIT (press enter)

    From now on, the Score collection report should work fine.

    10.00: Uploaded Rosters to Little League get rejected.

    When trying to upload rosters to Little League, they may be rejected because of LLB's strict compliance to their stated standard. Older versions of LAS put an accidental blank line before the Board of Directors, and put a "P" as the designation for the President.
    Because the LLB specification makes no mention of blank lines, and only lists "B", "G", "C" and "M" for record types (Boy, Girl, Coach, and Manager), yet requires the president to be included, you must do the following before sending the rosters to Little League:

    1) LAS automatically opens the exported file after it finishes exporting.
    The default name is "LLB.TXT", so look in the window with this title.

    2) Find the "League President" line, right after the comment line that looks like:
    # League President
    Change the second value from "P" to "C"

    3) Find any blank lines, and remove them. (There should be one just before the "Board of Directors" comment line)

    4) Click the "X" in the top right corner to close the window, and choose "Yes" to save the changes

    Now your roster file is ready to send to Little League!


    9.38: USYSA Roster & Player Pass format update

    15.00: What is the best way to assign players to teams?

    This is entirely a matter of opinion, since there are several different ways that you can go about assigning players to teams, each of which has benefits, depending on your point of view.

    The most obvious way is to simply type the division and team name into the player registration window. When assigning many players to teams, this can be very slow, since you first have to find the player record, then have to enter the right division and team. On the other hand, if you can make these assignments as you're entering new players, it can be very convenient.

    Note: If you misspell the division or team name, LAS will prompt you with a list of divisions or teams. Also, if you begin a partial division name or team name then "tab" out of the field, LAS will automatically complete the name for you. As you start typing the division or team name, a list of other names that start with the same letters will automatically appear...if you don't want the first one, you can press the Down arrow, or use the mouse, to pick any others from the list.

    Another way to assign players to teams is using [ Personnel.. Team Assignment ]. This gives you a list of players (optionally filtered in many different ways), allowing you to go through the list and pick a division and team for each.

    One more visual way to assign players to teams is using the League Explorer window. Any time you see a player listed in the right side of this window, you can drag that player and drop them onto a division or team in the tree on the left side of the window to assign that player to that division or team.

    Note: In the League Explorer list on the right, you can select more than one player at a time, then drag them all onto a division or team on the left. This follows standard "Windows" conventions:

    1. Click on one of them, and it should become selected.
    2. Hold the Ctrl key and click another, and it, too will become selected.
    3. Hold the Shift key and click another, and every player between the first one you clicked and this one will all become selected.
    4. Click-and-drag any of the selected players, and the whole bunch will be dragging. You can then drop the whole bunch onto a division or team to change all the assignments at once.


    12+: Which Backup Compression Method should I Use?

    When you click "Backup Now" on LAS's "Goodbye" dialog box, or you select "Backup" from the [File ==> Utilities] menu, LAS displays the "Backup" dialog box. This dialog box asks you for a destination path (location) for the backup it is about to create, and for you to choose which compression method to use.

    The Destination Path is simply asking "Where should LAS put the Backed-up files?"; However, the Compression Method may not be so obvious, so here are some suggestions on what to select:

    • AASZIP -- This method is the primary way that LAS compresses backup files. It uses the ZLIB.DLL compressor to directly create the final backup file as a "ZIP" archive file.
    • SAWZIP -- This method uses the SAWZIP ActiveX control to create the final backup file as a "ZIP" archive file. This is a more "comprehensive" alternative to the simple AASZIP, but LAS does not yet use any of the additional capabilities that it provides.
    • LHA -- This method uses the MS-DOS based LHA.EXE tool to compress the LAS data files into a single destination file. This requires the Windows "16 bit MS-DOS Subsystem" to be functional (see below).
    • PKZIP -- This method uses the MS-DOS based PKZIP.EXE tool to compress the LAS data files into a single destination file. This requires the Windows "16 bit MS-DOS Subsystem" to be functional (see below). Tools to manipulate the resulting ZIP files are more common than tools for LHA files.
    • None -- Selecting this causes all the individual data files to be placed in the destination path. Be sure to select an empty folder as the destination; otherwise, these files will be mixed with whatever files are already there, resulting in a mess. (You can still restore from this "mess", but it makes it hard to move or erase the backup without disturbing the other files in that folder.)

      This is the method used by older versions of LAS.

      We usually find that using one of the compression methods (rather than "None") makes it easier to manage the resulting backup files, since the compression results in "one file::one backup", whereas if the files are left uncompressed, you have to deal with folders-of-files... "one folder (with many files)::one backup". However, if you do encounter problems with compression, "None" is always a reliable option.

    Problems you may encounter:

    • PKZIP, LHA - These two methods rely on the "16-bit Subsystem" in the Windows Operating System. On certain that aren't configured just right, trying to use these compression methods causes Windows to display this error:
      A window opens with the title "16 bit MS-DOS Subsystem" showing this:
      C:\WINDOWS\system32\cmd.exe
      C:\WINDOWS\SYSTEM32\AUTOEXE.NT. The system file is not suitable for running MS-DOS and Microsoft Windows applications. Chose 'Close' to terminate the application.
    • AASZIP - This method relies on the "ZLIB.DLL" library file being accessible. It is automatically installed with LAS. However, this method is limited to compressing data files up to 16MB in size (though the final output file can be bigger).
    • SAWZIP - This method relies on the "SAWZIP.DLL" ActiveX control, and the "ZLIB.DLL" library both being accessible. They should be installed with LAS automatically, and the SAWZIP.DLL file should be automatically registered; however if LAS has been manually moved from one computer to another, it is easy to miss these files.

    14.xx: Why are my backups so large?

    LAS keeps several log files that grow in size the longer that you use LAS. Prior to v14, LAS did not back these up, but now they are included in backups because they can be very useful to our technical support personnel when trying to diagnose a problem. The log files include:
    • StartLog.txt - Stores details about LAS's most recent startup process.
    • ErrorLog.txt - Stores a record of each critical error that LAS encountered while running. (Some OS-level errors cannot be captured or stored in this file, particularly 0x000C6 and "Internal Consistency" errors.)
    • ERRORLOG.STA, ERRORLOG.MEM - Stores extreme detail about just the most recently captured error.
    • ReindexConvertLog.txt - Stores a log of some conversions of your data that occur during reindex, primarily when converting an older database to be compatible with a newer version of LAS.
    • FixesLog.txt - Stores details about how the LAS Service Pack has made adjustments to the LAS database.
    • MsgLog.txt - Stores details about the message delivery progress for LAS MessageCenter Plug-in.
    • WebReg.log - Stores a log of the events which happened while LAS League Web Manager Plug-in was downloading data.
    • OrgData.txt - Stores data downloaded by LAS League Web Manager Plug-in.
    • ... and there are others. Most are of the file type "Text Document", and have the extension ".TXT" (which is hidden by default on Windows XP computers).

    However, since these log files can grow very large in size, they can cause your data backup to be too large to fit on a floppy disk. If you'd like to reduce the size of your backups, you can delete these log files.

    To delete these files, you can follow these steps:

    1. Click [ Start ==> All Programs ==> All American SportsWare ==> Tech Support ==> Explore LAS v14 Data Folder ]
    2. A "Windows Explorer" window will appear.
    3. Click [Tools ==> Folder Options]
    4. In the "Folder Options" window that appears, go to the "View" page, find the "Advanced Setting" called "Hide file extensions for known file types" and make sure it is NOT checked. Click "OK".
    5. Back in the "Windows Explorer" window, Click [ View ==> Details ]
    6. Now, you can click the "Type" column header, and all the files will be sorted by file type (basically, they will be sorted by "extension"). The log files are almost all "Text Document", so scroll down to that section. You can now select and delete the various log files.
    Warning: if you delete files that are NOT the log files, you can permanently delete or damage your league database. If you are not comfortable with the steps above, please have someone who is familiar with Microsoft Windows folders help you.

    12.xx,14.xx: Why can`t I pick another report from the menu explorer

    This happens because the Roster Report function closes some files that the Menu Explorer needs to use. So, after the Roster has been produced, the Menu Explorer loses its place, and must re-open the menu files and start from the beginning.

    15: Why can`t I record a macro?

    In some installations of LAS, the menu item at [ File... Utilities... Macros ] doesn't do anything. However, the menu item shows F10 as the "shortcut key" on the menu itself.

    WORKAROUND: Press the F10 key on your keyboard to start recording a macro. Note: You cannot record a macro when the menus are opened.


    ANY: Why do birthdates show as numbers after Flexport to Excel?

    Certain versions of Microsoft Excel (and some other spreadsheet programs like Quattro Pro) don't automatically recognize the date values as dates, so they may show up at first simply as a number. Microsoft Excel 2003, v11.56 automatically recognizes the birthdate column as a date, and so it formats it like a date. However, if the spreadsheet program you are using doesn't, try these steps (or similar steps... they may have to be varied depending on the program you are using):
    1. open the file in excel
    2. select that column (by clicking on the column "D" header)
    3. choose [ Format => Cells ]
    4. in the format cells dialog, page 1 ("Number"), select "Date"
    5. Click "OK"
    Then the dates should look correctly.

    14, 15: Why do I get a File ...\junk.dbf does not exist error

    This message indicates that LAS found other members with the same or a similar last name. It is trying to "Pop up" a list of those potential duplicate member records... however, it's obviously encountering a problem.

    The cause of the problem is that the file "DISPLAY.DBL" in your data folder is from an older version of LAS. This file is supposed to be replaced with the latest version during the install of the newer version of LAS. However, if you restored data from an older version of LAS, it is possible that the older version of this file could be restored, also. Also, in some cases, our installer is unable to replace the old version of DISPLAY.DBL

    There are several ways to resolve this problem; The simplest would be to delete the DISPLAY.DBL and DISPLAY.CDX files from your data folder, then install the latest version of LAS.

    1) Delete the DISPLAY.DBL and CDX files:

    • Make sure LAS is not running.
    • Click "Start"... All Programs... All American SportsWare... Tech Support... Explore LAS Data Folder
    • Find all the files called "DISPLAY" and delete them... (most Windows computers will not show the last three letters, and both files will look like "DISPLAY". Some Windows computers will show them differently, as "DISPLAY.DBL" and "DISPLAY.CDX" )
    2) Install the latest revision of LAS by following the instructions here: http://aasports.net/ftp/las

    Be sure that you select the "Standard Installation" and that the data folder that you install to is the one that you've been using.

    The next time that LAS starts, it should automatically "Reindex", then it should work correctly.


    15.14: Why do I get a Variable `ENHREPORTS` is not found error

    There was a mistake in the member email address report that refers to a non-existent variable. You can workaround this problem with the following steps:
    WORKAROUND:

    • Click [ File... Utilities... Tech Support... Command Prompt ]
    • Type each line, followed by pressing the "Enter" key:
        RELEASE EnhReports
        PUBLIC EnhReports
        EnhReports = .T.
        EXIT
      
    • The report should now work. (If you prefer to use the WinPrint-based report instead of the "Enhanced" report, just replace .T. with .F. in the step above. )

    Note: You must do this workaround once after starting LAS before you can produce the Member Email report. If you exit LAS and restart, you must execute this workaround again before the Member Email report will work.


    14.00: Why do I get a `C0000005 error` every time I try to produce a Registration Date report?

    The old-style Registration Date counts report has a bug that causes LAS to crash. You can work around this bug by enabling the new-style Registration Date report by following these steps:
    1. Go to [ File => Utilities => Setup => Hardware ]
    2. Mark the checkbox called "Use Advanced Reports"
    You only have to go through these steps once.
    (The "Advanced Reports" are usually more attractive than the older LAS reports, but are not editable. You can go back to the older style reports at any time by "unchecking" the configuration option mentioned above.)

    15.10: Why do I get the error ``Variable `BD_YR` is not found``

    In certain circumstances, LAS has trouble creating a new division if you have the player age field turned "off".

    WORKAROUND: All you have to do is turn the player age field on, and there's no problem creating divisions. Once they're all created, you can turn the age field off again so it doesn't show on the screen or on reports. Just follow these steps:

    1. Start LAS
    2. Click [ File... Utilities... Setup... Season ]
    3. In the "Season Settings" window that appears, Click the "Registration" tab
    4. Click the "Select Player Fields" button
    5. In the "Player Registration Configuration" window that appears, Mark the checkbox to the right of "Age:"
    6. Click "OK" to close the "Player Registration Configuration" window.
    7. Click "OK" to close the "Season Settings" window.

    Now, adding and editing divisions should work fine. Once you have the divisions the way you want, just follow the same steps to disable the age field.


    12.xx,14.xx: Why do I get `Invalid subscript reference` when trying to edit an empty list of Divisions, teams, etc?

    If a list is completely empty, then you should click "Add" to add an item to the list.

    Clicking "Edit" or "Delete" will cause a crash because LAS will try to let you edit or delete a non-existant item.


    14.xx: Why does backup fail with `String too long to fit` or `backup file not found`?

    When the data files get large, LAS's built in compression was not able to handle the resulting compressed .ZIP file that became larger than 16MB. This also affected the DataSafe feature that automatically backed up the database for you.

    The alternate compression methods "pkzip" and "lha" both had problems caused by the space in the standard LAS installation folder that made them fail to create the compressed output file.

    WORKAROUND: To get a good backup to protect your data, the "SawZip" compression method successfully handles output files larger than 16MB. You can ignore the error message produced by the DataSafe automatic save.

    Even though this situation is rare, you should update to version 14.10 or higher as soon as possible to eliminate this issue.


    ANY: Why does LAS always start by Reindexing?

    Fixed in LAS 10.24
    LAS checks, each time you start up, to make sure all the required data tables are present and in the latest format. If it senses anything missing, or senses that the last time LAS was run it was closed without exiting properly, then it automatically reindexes.

    In some versions prior to 10.24, certain files were still being looked for even though they were no longer used by LAS.

    These files are: SPONSOR.DBF, SPONSOR.CDX, SHOWGET.DBL, SHOWGET.CDX
    You can create dummy files by these names (perhaps by copying the readme.txt file then renaming them) and it should stop LAS from always reindexing. However, ALL CDX files are deleted every time LAS reindexes, so you need to mark them read only.

    12.00-14.00: Why does Member Locate go to the very end if I search on a single Letter?

    LAS sometimes ignores the "Is Registered" flag when trying to locate a member in "Member Info (Registered Only)" or when trying to locate a player in "Player Info (Registered Only)".

    If it locates an unregistered Member or Player, then the "Member Info" / "Player Info" list cannot display the located record (since they show only the registered records) and they will position at the very bottom and display the message "Not Found".

    WORKAROUND: You can open the Registration Window (instead of the "Member Info" or "Player Info" lists) and then activate the "Locate Member" or "Locate Player" function, and it will work properly.


    12.24: Why does the Account Ledger Report crash with the error "Class definition AASRPT is not found"?

    A file was missing from the LAS release. Download this file by clicking on this link: AASRPT.APP
    When asked whether to open the file or save it, select "Save It To Disk".
    Then, navigate to your LAS program folder, (usually "C:\Program Files\All American SportsWare\LAS") and save the downloaded file there.

    Now, the Ledger reports will all work, as long as you select "Group Transactions by Account" or "Sort Transactions by Date".
    The overview version of the report, "Show Account Balances Only", still will not work. However, all the information that would be on this report is on the others, only with more detail.


    10.xx: Why don`t Pre-Registration forms show all the divisions this player is eligible for?

    Pre-Registration forms go about determining what divisions a player is eligible for in a slightly different way than the registration window for two reasons:
    1: The Registration Window only has to pick the first available division that "fits" rather than a list of "eligible divisions", and
    2: Height, Weight and User Sort Code 3 are values that are likely to change for each season, and so shouldn't be used to determine potential division eligibility for pre-registration forms. However, those settings are used on the registration window.

    There was a bug in LAS Pre-registration forms that caused it to always check the player grade eligibility if the player had a grade entered, even if a division had no lowest or highest grade specified.

    Additionally, there was a bug in LAS's Registration Window that would always use the Gender, Age, Grade, Height and Weight ranges that were defined in the divisions to auto-select the new division, even if those fields had been turned "off" in Season setup.

    WORKAROUND: Before producing Pre-registration forms, go to [File... Utilities... Setup... Season... Registration (tab)... Select Player Fields (button)], and unmark the checkbox next to "Grade:". Now, the grade range will be ignored when you next produce pre-registration forms, and the proper eligible divisions will be shown.
